PRIVACY POLICY

1. WHO IS RESPONSIBLE FOR YOUR INFORMATION?

Daniel Sheppard, trading as Unico Venetian, is the data controller for personal information collected through www.unicovenetian.com, our Facebook and Instagram enquiry forms, and in connection with our decorative finishing services.

For privacy enquiries or to exercise your rights, email daniel@unicovenetian.com or call +44 7908 462451.

2. INFORMATION WE COLLECT

When you contact us, we collect the details you provide, including your name, email address, telephone number, project location, requested finish, approximate measurements and message. We also receive project photographs, drawings and other information you choose to send by email or WhatsApp. The website contact form currently directs you to send photographs or drawings through WhatsApp after submitting your enquiry. If you submit a Facebook or Instagram enquiry form, we receive the contact details and project answers you provide, including your project postcode, timing and intended surfaces, together with available information identifying the form and advertisement.

If you subscribe to our newsletter, we collect your email address and subscription preferences. Our website and its service providers may also process technical information, such as IP address, browser and device information, pages visited and interactions with the site.

Please only send information needed for your project. Avoid including unnecessary details about other people in photographs or drawings.

3. WHY WE USE YOUR INFORMATION

Project enquiries and quotations: we use your details to discuss requirements, assess the proposed work and prepare a quotation. Where you are considering engaging us yourself, the lawful basis is taking steps at your request before entering a contract. For business contacts acting for a client or organisation, our legitimate interest is responding to relevant project enquiries and managing professional relationships.

Agreed work: we use relevant information to arrange and deliver the services you commission, communicate about the work and manage payments. Our lawful basis is performance of a contract, or our legitimate interest in delivering the work where the contact acts for another organisation.

Business administration, security and legal matters: we process information as necessary to keep records, protect the website, handle disputes and comply with legal obligations. Our bases are legal obligation and our legitimate interests in operating and protecting the business.

Newsletters and offers: we use your email address for marketing when you have opted in. Our lawful basis is consent. You can unsubscribe using the link in an email or by contacting us. Declining marketing does not affect an enquiry or agreed work.

Website measurement: the site is configured to use Google Analytics 4 to understand visits and website interactions. Analytics and advertising consent is separate from permission to contact you about your project; where consent is required, it must be obtained separately. See our Cookie Policy for further information.

4. WHO RECEIVES YOUR INFORMATION?

Our website is hosted by Wix. Wix provides website, form, contact-management and newsletter facilities that may process information on our behalf. Google processes information associated with Google Analytics. Email and messaging providers process communications sent through their services, including WhatsApp when you choose to contact us there. Meta provides our Facebook and Instagram enquiry forms and processes use of its platforms under its own privacy information. We use Make to transfer new form submissions, including contact details, project answers and available form or advertisement information, to our business Gmail inbox through Google Workspace. This creates an internal email alert so Daniel can respond to your project enquiry. Submitting a project enquiry does not subscribe you to newsletters or offers.

Relevant project information may be shared with a designer, architect, contractor or professional adviser where necessary for the work, or where you ask us to do so. We may disclose information where required by law or necessary to establish, exercise or defend legal claims.

Sending project photographs does not by itself give permission for us to publish them as a case study. Any use that identifies a client or private property needs to be considered separately.

5. HOW LONG WE KEEP INFORMATION

We keep personal information only for as long as needed for the purpose for which it was collected. The period depends on whether an enquiry remains active, whether it leads to commissioned work, any ongoing aftercare or dispute, and applicable record-keeping requirements. Photographs and drawings are retained where needed to assess, carry out or document the project.

Marketing details are used while you remain subscribed. After an unsubscribe request, a limited suppression record may be retained to respect your choice. Analytics retention is governed by the relevant service settings. Contact us if you need information about the retention of a particular record.

6. INTERNATIONAL PROCESSING AND SECURITY

Wix, Meta, Make, Google and communication providers may process information outside the UK. Where UK data protection law requires safeguards for a transfer, these must be provided through the applicable transfer arrangements, such as an adequacy decision or approved contractual safeguards. You can contact us for information about the safeguards relevant to your data. Agreeing to this privacy notice is not consent to an international transfer.

We take appropriate measures to protect personal information and limit access to those who need it. No internet transmission or storage system can be guaranteed completely secure.

7. YOUR DATA PROTECTION RIGHTS

Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction or transfer of it. You can object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you can withdraw it at any time; this does not affect the lawfulness of earlier processing. These rights are subject to legal conditions and exceptions.

Email daniel@unicovenetian.com to make a request. We may need to verify your identity before responding. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/ or on 0303 123 1113.

8. YOUR CHOICES AND OTHER WEBSITES

You do not have to provide personal information, but we need sufficient contact and project details to respond to an enquiry or provide the requested service. Marketing subscription is optional. Reading this notice or continuing to browse the website does not constitute consent to marketing or non-essential cookies.

Links to WhatsApp, social media and other external websites take you to services with their own privacy notices. Please review those notices when using them.

9. CHANGES TO THIS NOTICE

We will update this notice when our services or data-handling arrangements change. The date above shows when it was last revised.
